Team members and collaboration

You can invite teammates to your SimplyRank workspace so they can see the dashboard, run scans, and act on recommendations alongside you.

Inviting a team member

  1. Open Settings → Organization.
  2. Click Invite team member.
  3. Enter their work email.
  4. Click Send invite.

They get an email with a link. Clicking it sends them through the magic-link sign-in (no password to share). On their first sign-in, they're added to your workspace.

What team members can do

Today, all team members in a workspace have the same level of access — they can see all data, edit prompts and brands, run scans, and view billing. There's no role-based access yet.

This means: only invite people you trust to see and modify your AI visibility setup. If you need read-only access (e.g. for a stakeholder), the workaround today is to share a PDF report or a read-only dashboard link rather than adding them as a member.

Roadmap: role-based access (admin / editor / viewer) is on the list. If this is a blocker for you, email [email protected] so we know to prioritize it.

Removing a team member

  1. Settings → Organization → Team members.
  2. Click the member you want to remove.
  3. Click Remove from workspace.

They lose access immediately. Their historical actions (e.g. prompt edits, scans they triggered) stay in the audit trail but they can no longer sign in.

Workspace ownership

The workspace has one owner — the person who created it. The owner can:

  • Add and remove members.
  • Change billing details.
  • Cancel the subscription.
  • Transfer ownership to another member (email [email protected] for now).

If the owner leaves the company, ownership transfer is the right path — don't just delete their seat, or you'll lose admin access. Email us before the transition.

Sharing without inviting

If you want stakeholders to see data without using a seat:

  • PDF reports — generate a polished report and email it. Most exec stakeholders prefer this.
  • Shared dashboard links (read-only) — generate from the Dashboard page; the recipient sees live data without signing in.

Both options work without using a team-member slot.

Notifications per member

Each team member has their own notification preferences in Settings → Notifications — they choose what scan summaries, alerts, and recommendations to receive. Email frequencies and Slack alerts are configured individually.

Common questions

Can I have read-only members? Not as a permission today; use shared dashboard links or PDF reports for stakeholders who don't need to modify anything.

Can a member belong to multiple workspaces? Yes. The same email can be invited to multiple workspaces (typical for agencies and consultants). They switch between workspaces using the workspace switcher.

Do members need to pay separately? No. Team members are included in your plan up to the limit. There's no per-seat charge beyond the plan price.

Can I see who did what? A basic activity log is in Settings → Organization → Activity. It shows when prompts were added/edited and when scans were triggered, and by whom.
